PROVISIONAL BOOKING

A provisional booking can be made by telephone, via email to reservations@sapienzatravel.com or through our website, www.sapienzatravel.com. We will hold your provisional booking for seven days. After seven days, if you have not made a definitive booking, the holiday will be released for others to book.

DEFINITE BOOKING

To make a definite booking, you may:

1. Complete and return our booking form. This must be signed by the person authorised by all persons named on the form to make the booking based on our terms and conditions. If you make a booking on behalf of others as well as yourself, we shall take it that you have the authority of each of those other people to enter into that contract and that you and they have agreed to be jointly and severally liable to us. The completed and signed booking form is to be sent, along with the deposit as specified for the tour, to Sapienza Travel Limited. 415 Linen Hall, 162-168 Regent Street, London, W1B 5TE

2. Complete the booking process through our website, www.sapienzatravel.com, making payment of the specified deposit online.

3. You may telephone Sapienza Travel Limited to make credit card payment for the specified deposit, or full tour price, over the telephone. Telephone us on 0800 086 9778 to place your booking with us.


BOOKING CONFIRMATION

On receipt of a correctly completed booking form, with the deposit, or an online booking through our website, www.sapienzatravel.com, having successful paid the deposit, a contract then exists between you and Sapienza Travel Limited. We then issue you a booking confirmation invoice. Please check this invoice carefully as soon as you receive it. If there are any inaccuracies on it, contact us immediately in writing with your corrections. We regret that we cannot accept any liability if we are not notified of any inaccuracies within any document within fifteen days of sending it out. If you are booking within sixty days of departure, full payment is required with your booking. The final balance is payable no more than sixty days prior to the date of departure. It is your responsibility to ensure that the full payment reaches Sapienza Travel Limited in time. If payment does not reach us in time, we are entitled to assume that you wish to cancel your booking. In this case, we will be entitled to keep all deposits paid or due at that date.

PAYMENT TERMS

Payment can be made by cheque (payable to Sapienza Travel Ltd Trust Account), by bank transfer or by debit card (Maestro or Visa debit cards). We accept credit card payments (Visa and Mastercard). There is no surcharge for using credit or debit cards.

PRICE

A list of what is included in the price of a tour is given in each tour’s description. The basic tour price is per person sharing a double room and includes VAT.


INSURANCE

It is a requirement of booking that you have adequate holiday insurance. Cover for medical treatment, repatriation, loss of property and cancellation charges must be included. We recommend that you carry a European Health Insurance Card (EHIC) which can be obtained from the Department of Health. If you are making your own flight/travel arrangements, please ensure you have insurance in place that protects you in the unlikely event of Sapienza Travel Limited cancelling the tour.

ELIGIBILITY

We reserve the right to decline a booking without necessarily giving a reason. All our tours involve a considerable amount of walking and standing for long periods of time, often across uneven ground, cobbled streets, and up and down steps. For your own safety and enjoyment, and for the safety and enjoyment of fellow travellers, we do require that you are fit and able to walk non-stop for thirty minutes and to stand for at least one hour, without requiring aid or a rest.

If you are in any doubt about the suitability of a particular tour for your level of fitness, please telephone us to check before placing your booking.

If you or any member of your party has any medical condition or disability which may affect your study tour or has any special requirements as a result of any medical condition or disability (including any which affect the booking process), please tell us before you confirm the booking so that we can assist you in considering the suitability of your chosen tour.

You must give full details in writing at the time of the booking and whenever there is any change in the medical condition or disability. This includes the development of medical conditions and disabilities after a booking has been placed. If Sapienza Travel Limited feels unable to accommodate the particular needs of the person concerned, we reserve the right to decline their reservation, or if full details are not given at the time of booking or the condition/disability arises after booking, cancel when we become aware of these details. You further agree to accept the authority and decisions of Sapienza Travel Limited and our lecturers and tour managers whilst on a tour. If, in the opinion of any such person(s), your health endangers the safety or smooth running of the tour, we reserve the right to cancel your tour or your participation in any part of the tour and shall have no further liability to you.


PASSPORTS AND VISAS

British citizens must have valid passports for all our tours outside the United Kingdom. For most countries, the passport needs to be valid for six months beyond the date of the tour end date. If visas are required this will be stated on the tour description.

CANCELLATIONS AND AMENDMENTS MADE BY YOU

If you cancel your booking, we will make a charge to offset costs incurred on your behalf. Charges vary according to the period of notice given. Up to, and including 64 days prior to the tour departure date, the deposit is forfeited. Thereafter, a percentage of the total cost of the tour will be due:

- Between 63 days and 29 days: 40%
- Between 28 days and 15 days: 60%
- Between 14 days and 3 days: 80%
- Within 48 hours: 100%

We take as the day of cancellation the working day (Monday to Friday, excluding Bank Holidays) on which we receive written confirmation of your cancellation. Your travel insurance policy may cover you for at least some of your losses.

If you cancel your booking in a double or twin room but are travelling with a companion who chooses to continue to participate on the tour, the companion will be liable to pay the stipulated single supplement.

If you want to make a change after your initial booking (and outside the fifteen-day period from the date of your booking confirmation), we will endeavour to satisfy your requirements once we have received written confirmation from you, but we shall make a charge to reflect any costs involved in this. No guarantee is made by Sapienza Travel Limited that these changes can be satisfied.

SAFETY AND SECURITY

If the UK Foreign and Commonwealth Office advises against travel to places visited on a tour, we would cancel the tour, or make adjustments to the itinerary to avoid the areas of risk. In the event of cancellation before the tour commenced we would give a full refund.

OUR LIABILITIES TO YOU

As principal, we accept responsibility for all components for a tour, except those in which the principle of force majeure prevails. However, we shall not be liable for the failure or improper performance of these services where such failure or improper performance is attributable to the fault of the client, or the unforeseeable or unavoidable actions of an unconnected third party or to unusual and unforeseeable circumstances beyond our or our suppliers control.

Circumstances might arise which prevent us from operating a tour exactly as advertised. We would try to devise a satisfactory alternative, but if the change represents a significant loss to the tour we would offer compensation. If Sapienza Travel Limited has to cancel a tour, a full refund will be provided. Our obligations and responsibilities are also limited where international conventions apply in respect of air, sea or rail carriers.

COMPLAINTS AND ISSUES

In the unlikely event that something does go wrong, please inform a representative of Sapienza Travel Limited as soon as possible. We will endeavour to solve these issues quickly and to your satisfaction. If a problem cannot be resolved while on a tour, you must write to us within 28 days of the end date of tour with a full account of your complaint. We will then endeavour to agree a reasonable level of compensation, if appropriate. In the unlikely event that agreement cannot be reached, you may wish to take advantage of the independent dispute resolution scheme offered by the Travel Trust Association (www.traveltrust.co.uk)

FOR SAPIENZA TRAVEL LIMITED FLIGHT-BASED PACKAGES

When you buy an ATOL protected flight or flight inclusive holiday from us you will receive an ATOL Certificate. This lists what is financially protected, where you can get information on what this means for you and who to contact if things go wrong. Sapienza Travel holds ATOL certificate number T7627.

We, or the suppliers identified on your ATOL Certificate, will provide you with the services listed on the ATOL Certificate (or a suitable alternative). In some cases, where neither we nor the supplier are able to do so for reasons of insolvency, an alternative ATOL holder may provide you with the services you have bought or a suitable alternative (at no extra cost to you). You agree to accept that in those circumstances the alternative ATOL holder will perform those obligations and you agree to pay any money outstanding to be paid by you under your contract to that alternative ATOL holder. However, you also agree that in some cases it will not be possible to appoint an alternative ATOL holder, in which case you will be entitled to make a claim under the ATOL scheme (or your credit card issuer where applicable).

If we, or the suppliers identified on your ATOL certificate, are unable to provide the services listed (or a suitable alternative, through an alternative ATOL holder or otherwise) for reasons of insolvency, the Trustees of the Air Travel Trust may make a payment to (or confer a benefit on) you under the ATOL scheme. You agree that in return for such a payment or benefit you assign absolutely to those Trustees any claims which you have or may have arising out of or relating to the non-provision of the services, including any claim against us, the travel agent (or your credit card issuer where applicable). You also agree that any such claims may be re-assigned to another body, if that other body has paid sums you have claimed under the ATOL scheme.?

FOR SAPIENZA TRAVEL LIMITED RAIL-BASED PACKAGES AND INDEPENDENT TRAVELLERS

Where a flight isn’t involved, Sapienza Travel Limited uses an insurance policy or a deposit scheme to ensure the money it receives is protected. The Travel Trust Association (TTA) is a long-established and respected trade body which operates one of these schemes. Sapienza Travel Limited is a member of the Travel Trust Association. Our membership number is Q5324.

When you pay for your holiday, your money will be deposited into a trust account, which is supervised by an independent trustee. It will usually stay in this account until you return from holiday. In addition, the TTA provides a further financial guarantee by insuring your money (up to the value of £11,000).

If a TTA travel company collapses, you will either get all your money reimbursed or arrangements will be put in place to allow your holiday to continue as planned. ENGLISH LAW

These terms and conditions form part of your contract with Sapienza Travel Limited and are governed by English law. All proceedings shall be within the exclusive jurisdiction of the courts of England and Wales.
